Amidst the excitement and the prospect of going abroad, please keep in mind the following important steps that must be followed between now and your departure.
Please note that UCEAP refers to the University of California system-wide EAP office in Santa Barbara.
You must have a valid passport to travel abroad. If you already have a passport, check the expiration date now. It must be valid 6 months beyond the end of your program. If you need to apply for or renew your U.S. passport, it may take as long as eight weeks, and a renewed passport will have a different number. UCSD Mail Services is the closest passport processing location.
The name on your passport must be the same name that appears on all UCEAP paperwork. If you are not a US permanent resident, discuss with your advisor what paperwork you need to complete in order to re-enter the United States.
You will be notified by email when your electronic pre-departure materials from UCEAP are ready. Occasionally you will also have to pick up hard copy forms. It is essential that all paperwork be completed on time and with close attention to detail.
Download a handout(PDF) containing suggestions for obtaining passport photos, transcripts, and other items frequently requested by UCEAP.
You will pay most of your EAP fees through the myEAP website. Click on "Financial Info" on the left hand menu to see your balance and payments.
If this is the first time you have applied to an UCEAP or OAP program, you will also be charged a $100 administrative fee through UCSD billing. Please pay this fee promptly to avoid a late penalty.
If you program begins in the middle of a quarter at UCSD, you will not be covered by the SHIP insurance while you are still in the United States after the beginning of the quarter that you are leaving. You should consider purchasing your own short-term student health insurance if you are not covered by your family's insurance.
Complete a health clearance at Student Health or at your private physician's office depending on your program.
For Students Seeing Their Private Physician: You may go to your private physician at home or in San Diego. If you opt to visit a physician other than your primary care doctor, we suggest you call your health insurance provider to confirm that the cost of the visit will be covered. An option near UC San Diego is Partners Urgent Care UTC (www.partnersurgentcare.com) which will complete your UCEAP Health Clearance form for a $25.00 fee and an appointment is not necessary. Additional health forms are extra. Please call ahead to confirm the office visit charge: (858) 888-7800.
